    ・GCIR teams in Hong Kong and Tokyo provide client and investment reporting to all APAC-based clients
    ・This covers a broad range of client types including separate accounts, mutual funds (SICAV’s, ITMs. AUTs) and third-party distributors across all three of Global Distribution’s core regional business: Asia ex Japan (institutional and intermediary) Japan (pensions, financial institutions and intermediaries), Australia (institutional and intermediary).
    ・The reporting includes proprietary branded reports (Investment Reports, Factsheets, Quarterly Reviews, Pitchbooks), regular scheduled custom reports and client kits, repeatable marketing material (fund flyers), due diligence and regulatory reporting and various other pass-through deliverables (reconciliations, valuation statements, commentary).
    ・The APAC team works in close collaboration with other regional GCIR teams sharing the same core technology and broadly following the same global policies and procedures, including for translation services where required.
    ・Additional tech components and processes may apply in Japan, to cater for trust bank data provisioning.
    ・With the expansion of technology to automate processes, increasing regulation, and the growth in more complex investment strategies, the team is looking to add an Analyst to support the regional production teams

    PRINCIPAL RESPONSIBILITIES
    1. Continuous Process Improvement.
    ・Work proactively and systematically with the team supervisors to identify production bottlenecks and problem areas on an ongoing basis.
    ・Use technical Excel macro-building / VBA skill to provide automation of report composition where required to boost efficiency and reduce risk
    ・Utilize metrics to analyse and understand issues, propose areas for improvement and recommend solutions
    ・Implement solutions
    2. Platform Oversight and User Support.
    ・Develop and maintain an in-depth technical understanding of the reporting platform and best practice in using the various applications, in order to help ensure text book usage and change management protocol. Includes system set-up, data maintenance, dataflows, interfaces and extracts and automated document publication processes.
    ・Liaise with internal product managers and teams and/or external vendors to investigate and resolve issues and to maintain various quality control and monitoring procedures.
    ・Ensure all systems and reports are updated and maintained to reflect both organizational and regulatory changes.
    ・Develop and maintain sufficient knowledge of subject matters across several products/domains such as ITMs, Japanese pensions, Australian SMAs, regional regulatory frameworks, to understand how the platform supports these areas specifically and to advocate for change / enhancement where necessary
    ・Create and maintain documentation to guide production teams.
    3. Project Support.
    ・Represent the region and local businesses in various local, regional and global reporting projects, understanding sufficiently the evolving client and business needs, regulatory changes, and process and technology enhancements which impact client reporting.
    ・Cross functional collaboration on projects with areas such as ICC, GCC, GBS, Global Distribution (GCO and RMs), ECO, Investment Ops, Performance, IL.
    ・Document business requirements, create current and future state process maps, gap analysis, testing and implementation of solutions.

    ・Statutory Fund Documentation (SFD) is the department responsible for the creation and filing of domestic statutory documents such as Trust Deed, Security Registration Statements (SRS), Securities report, Investment report, Fact Sheet and Prospectus for our ITM products.
    ・Our responsibility includes sales-condition parts creation for sales materials and financial / investment statements of ITM funds, and also supporting OAM documentation.
    ・SFD also has a function of offshore fund documentation support for internal and external parties.
    Purpose of your role:
    ・Responsible for the filing task of statutory fund documents such Trust Deed, SRS, Securities report, Prospectus and sales-condition parts for sales materials.
    ・Responsible for the fund reporting task such as factsheet, shareholders report, BIS report, other report for the authorities.
    ・Set up and create the procedures for new events such as regulation changes, trust deed changes, inquiries from internal / external clients.
    ・Act as a liaison function of offshore fund documentation including the communication with foreign entities and external attorneys at law.
    ・Responsible for team building and people management.
    ・Be in charge of HR related works such as performance appraisal, evaluations, etc.
    Key Responsibilities:
    ・Supervise the disclosure production such as SRS/ Securities Report/ Prospectus/ Trust deed/ Factsheet/ Shareholders report/ other various reports which are processed by third party vendor staff and Dalian SFD staff. If required, involve in the production
    process of the disclosure as well.
    ・Supervise the sales-condition parts creation such as sales materials/ web site disclosure posting-process which are processed by third party vendor and Dalian SFD staff. If required, involve in the production process of the disclosure as well.
    ・Review the quality of productions of disclosures from third party vendor and Dalian SFD staff, control the quality of production processes for accuracy and manage timeline of the productions.
    ・Function as a SFD representative for new fund launches, trust deed changes, regulation changes etc. by working with internal and external stakeholders.
    ・Coordinate and communicate with other business units to incorporate their needs and accountable for the procedures
    ・Function as a liaison with foreign entities and external attorneys at law and embed the specifications into the daily processes of offshore fund filings.
    ・Escalate issues and comments immediately to the department Head something happens, and solve issues effectively.
    ・Conduct improvements proactively (System enhancements, BPR, Automation etc.) and take the initiative.
    ・Periodically and continuously review the working process to gain further efficiency gains or cope with the new business and regulatory requirements.
    ・Teach specific operations to junior staff.
    ・Provide the necessary work-supports and help for Dalian and regional SFD related responsibilities whenever required.
    ・Strongly support the department head and guide the team staff to enhance the team performance.

    ・Be a backup for the senior manager.
