Personal Information Protection Policy

We, Antelope Career Consulting Co., Ltd., recognize the importance of protecting personal information as an employment agency. We comply with regulations related to the protection of personal rights and privacy, and have established a Personal Information Protection Management System to adhere to the following policies. We pledge to continuously improve our Personal Information Protection Management System by focusing on individual needs and the latest trends in IT.

1.Acquisition, Use, and Provision of Personal Information
We will acquire personal information through lawful and fair means.
We will use personal information within the scope necessary to achieve the intended purpose.
When providing personal information to third parties, we will obtain the individual's consent in advance.
We will not use acquired personal information for purposes other than the intended purpose, and will take appropriate measures to prevent such usage.
If there is a need for unintended use, we will obtain re-consent for the new purpose.
2.Security Management of Personal Information
To prevent unauthorized access, leakage, loss, or damage to personal information, we will establish and maintain a system for promptly implementing corrective measures for the secure management of personal information.

4.Compliance with Laws, Government Guidelines, and Other Standards (hereinafter referred to as "laws and regulations")
We will make efforts to stay informed about laws and regulations related to businesses handling personal information, inform our employees engaged in our business operations (hereinafter referred to as "employees"), and ensure compliance.
5.Continuous Improvement of Personal Information Protection Management System
We will monitor and audit compliance with internal regulations to discover and address violations, incidents, and vulnerabilities, and conduct reviews by our company management team. We will incorporate these improvements into our management policies and internal regulations, striving for continuous improvement of our Personal Information Protection Management System.
In our improvement efforts, we will adhere to laws and regulations as well as JIS Q 15001 standards.

HANDLING OF PERSONAL INFORMATION

Antelope Career Consulting Inc. ("Antelope") considers the protection of personal information to be one of its highest priorities in conducting its business. Antelope has established a Personal Information Protection Management System that complies with the Japanese Industrial Standards requirements for personal information protection management systems and maintains a rigorous framework for protecting personal information.

1.Definition of Personal Information
Antelope defines personal information as follows:
"Personal information" means information relating to an individual that can identify a specific individual by means of the name, date of birth, address, employment history, telephone number, email address, or other details contained in such information.
This includes information that can be readily cross-referenced with other information to identify a specific individual.
2.Security Management of Personal Information
We collect and use personal information entrusted to us solely for the following purposes.
1. To provide users with appropriate job placement services and job vacancy information.
2. To provide users' information to companies with the users' consent.
3. To provide various services ancillary to the service.
4. To obtain opinions, requests, and other feedback for the purpose of improving the quality of the service.
5. To request users to complete surveys regarding career changes and to publish anonymized survey responses for the purpose of introducing the service.
6. To use AI and other systems to assist our personnel in providing job placement services, proposing job opportunities, supporting applications, communicating with company representatives, reviewing and editing application documents, and recommending improvements to those documents.
7. To record, review, summarize, and internally share the content of consultation sessions and to analyze such content to the extent necessary to provide the service.
3.Use and Provision of Personal Information
In connection with career-change support services, we provide prospective employers with career-related information, including the user's name, address, date of birth, highest level of education, employment history, and qualifications. At the request of a prospective employer, we may also provide documents such as withholding tax certificates and pay slips.
For the purpose of introducing the service, we may anonymize the results of surveys regarding career changes and publish them on our website.
4. Requests for Disclosure and Other Actions)
Only the individual concerned may, by following the prescribed procedures, request disclosure and other actions concerning personal information held by us. Such actions include notification of the purposes of use; disclosure; correction, addition, or deletion of information; suspension of use; erasure; cessation of provision to third parties; and disclosure of records concerning provision to third parties. Please note that we may be unable to comply with such a request if doing so would interfere with our business operations.

5.Voluntary Provision of Personal Information
Providing personal information to us is entirely voluntary. However, if you do not provide the requested information, you may be unable to receive all or part of our services.
6.Outsourcing
We may entrust personal information to external service providers when outsourcing the processing of personal information. We may also use cloud services, including AI-enabled services, to provide career-change support services and improve operational efficiency. When outsourcing processing or using cloud services, we appropriately select and manage service providers after confirming that they maintain an adequate level of personal information protection.
7.Management of Personal Information
We continuously endeavor to implement the technical and organizational safeguards necessary to protect personal information against risks such as unauthorized access, loss, destruction, alteration, or leakage.
In connection with our use of cloud services, including AI-enabled services, personal information entrusted to us may be stored on servers located in the United States or other foreign countries, or may be processed in those countries. For the cloud services we use, we review the applicable contractual terms, information management framework, whether information is used for AI training, and the personal information protection laws and systems of the relevant country, and implement necessary and appropriate safeguards.
